How to Tell Which of Your Leads Sold to Another Investor

Match the property addresses in your CRM against recorded sales: county deed records, MLS sold data or a property data tool. A recent deed to an LLC or cash buyer usually means an investor bought it. Left Main REI, a growth operating system for real estate investment teams, automates this with Property Sales AI.

Check weekly, close out sold leads and record who bought them. That stops your team from calling sellers who already sold.

Why should you care which leads sold?

Everyone wants to know how to do more. Doing more doesn’t always mean generating more leads. Sometimes moving the bottom line is less about winning more and more about losing less.

The goal of an investment company is simple: talk to homeowners you can help. Those are homeowners who, for one reason or another, are inclined to sell to an investor. If that’s all your team did all day, every one of our businesses would be more successful. To get closer to that, you have to know who you can’t help and get them out of your pipeline. And you can’t help someone who already sold their house.

Across Left Main customers, we generally see 5 to 8% of a database sitting in an active lead or opportunity status when the property has already sold. Think about the human energy it takes to keep following up with those people, only to get no answer or hear that they already sold. That’s busy-work on homeowners you can’t help. It dilutes the whole system and makes your team less efficient. And you’re paying for it in calling minutes, SMS usage and direct mail.

Lost leads and opportunities are also a gold mine for your marketing team. Are you disqualifying marketing campaigns only because you didn’t win from them? If a competitor bought the house, that channel still generated a good lead. You can’t judge a marketing channel only by your own wins. Judge it by whether it generated leads that sold to an investor (ideally you). Without that view, it’s easy to make the wrong call on a channel.

And when you lose, you want to know why:

  • Who bought it, and for how much?
  • Were you accurate on after-repair value (ARV) or current condition value (CCV)?
  • Were you too slow?
  • Did you miss the motivation?
  • Are buyers paying more than you thought?
  • Should that buyer be on your buyers list, so you work together on future deals instead of losing to them?

How do you check for sold leads by hand?

1. Export the right leads

Pull every lead and opportunity that is not closed-won, with the property address, county, lead source, date created, and last activity date. Start with leads that had real contact (a conversation, appointment or offer), because those cost you the most when they sell to someone else.

2. Check county records

The deed is the definitive record of a sale. Search the county recorder (or register of deeds) or the assessor’s site by address, parcel number or owner name. Look for:

  • A new deed recorded after your first contact with the seller.
  • The grantee (buyer) name. An LLC, trust, or company name is a strong sign an investor bought it.
  • No new mortgage recorded at the same time, which often points to a cash purchase.
  • A second sale shortly after, which can point to a double close or a flip.

Deeds post online some time after closing, and the lag varies by county.

3. Check MLS and listing-portal sold data

If the property was listed and sold on the MLS, the sale usually appears in the property’s history on major listing portals, and your agent can pull MLS sold reports for a batch of addresses. This catches retail sales. It misses off-market sales, so use it alongside county records, not instead of them.

4. Match back to your CRM

Put the results in a sheet next to your export and, for each match, record:

  • Sale date and (where available) sale price
  • Buyer name and buyer type (investor entity vs. owner-occupant)
  • Your lead source, and how far the lead got (contacted, appointment, offer)
  • Your offer, if you made one

Then update each lead in your CRM to a lost status with a reason like “Sold to another buyer,” and remove it from every active follow-up sequence and mail list.

The manual method works for a few dozen leads. Across thousands of leads and several counties it’s a part-time job, which is why most teams quit.

The automated way: Property Sales AI

Left Main REI, built natively on Salesforce by real estate operators, is one system to find, run, and close every deal, so teams move faster, win more, and see exactly what’s working.

Property Sales AI does the four manual steps above inside your CRM:

  • Sold leads close themselves out. When county records show a property sold, Property Sales AI marks the matching lead or opportunity closed/lost and writes back who bought it, when and for how much. It also pauses calls, texts, email and mail, so you stop paying to market a property that already sold.
  • You see who bought it. It tracks who is buying in your market, how much they buy, and which competitors are closing deals you are missing.
  • Offer and ARV accuracy. It grades your offers and your reps’ ARV estimates against what the property actually sold for.

Weekly reports include Lost Leads by Source, Lost Opps by Offer Difference (your last offer vs. the actual sale price), Buyer Activity, Investor Sales by City, Marketing Dollars Saved (spend avoided by pausing outreach to sold leads) and Unrealized Potential Revenue.

It scans and updates weekly and runs natively inside Left Main. The data comes from a vendor of publicly available transaction records, with nationwide coverage including non-disclosure states.

One customer describes it this way: “Property Sales AI has completely streamlined our process. We can focus on high-priority deals.” (Shadi Tamimi, Offer Charm)

Property Sales AI is included with DealSignals and comes with the Launch plan ($1,200/month) and Enterprise ($2,000/month), both with implementation and Salesforce licensing included. See pricing for what each plan contains.

A related tool, DealSignals, works earlier in the cycle. It flags existing leads when a distress signal appears and delivers newly distressed properties in your market to your CRM, so you reach the seller first.

Tools compared

Property data tools differ in whether they work on your own lead list, how many properties they track, and whether the result lands back in your CRM. Competitor details are from each company’s own site (checked Oct 17, 2026).

Who should choose which

  • You have fewer than a few hundred active leads in one county: do it manually each month. It is free and teaches you your market.
  • You are a solo investor who mainly needs list data and comps: PropStream or PropertyRadar is likely the better fit. Both start around $100 a month and let you import your own properties (PropStream pricing, PropertyRadar pricing, checked Oct 17, 2026).
  • You find most of your deals driving for dollars: DealMachine includes a Driving for Dollars app on every plan and shows last-sale data on property records (source, checked Oct 17, 2026).
  • You want list building and an investor CRM in one subscription: DataSift combines both, with sold-property data built in (source, checked Oct 17, 2026).
  • You run a team with thousands of leads, several lead sources, and a real marketing budget: Left Main with Property Sales AI. The sold-lead check runs inside the same system as your follow-up and reporting, so sold leads drop off your lists and your lead-source numbers stay accurate. FAQ

How do I find out who bought a property I was marketing to?

Search the property on your county recorder’s or assessor’s website and look at the most recent deed. The grantee is the buyer. If it is an LLC, your state’s business entity search often shows who is behind it.

How can I tell if the buyer was an investor and not a homeowner?

Common signs are an LLC, trust, or company as the buyer, no mortgage recorded at the time of sale (a likely cash purchase), a tax mailing address different from the property, or a quick resale. None is proof on its own, but two or more together are a strong signal.

How often should I check my leads for sales?

Check active leads (appointments and offers) monthly and older nurture leads at least quarterly. Always check before a big mail, SMS or calling campaign so you don’t pay to market to properties that already sold.

Is there software that automatically marks leads as sold?

Yes. Left Main REI’s Property Sales AI matches county sale records to your leads and opportunities, marks the sold ones closed/lost with the buyer, date and price, and pauses outreach to those sellers. It scans weekly. Data tools like PropertyRadar and PropStream let you import and track properties (checked Oct 17, 2026), but you then update your CRM yourself or through an export or integration.

Can I track sales in non-disclosure states?

You can usually confirm that a property changed hands from the deed, even where the sale price is not public. Left Main’s Property Sales AI offers nationwide coverage, including non-disclosure states.

How many counties do I need for Property Sales AI?

You subscribe by county with no minimum, so you can start with one. Most customers subscribe to 3–5 counties.
